Property Operations & PMS

Property Operations and PMS: this is the forum for posting your ideas and comments on all aspects of hotel operations, from reservations to billing. You'll find a category here for each of the major topics in property management, and if you can't find the right category, please search or post to the Other category. Where we can, we'll move ideas around to group them as intuitively as possible for the product managers working on the PMS.

Please keep in mind that there is a separate forum for topics specific to the operations of hotel chains and groups. Go to the Multi-property management forum for anything about portfolio management or rate, product, package and restriction functionality across multiple properties.

  1. It would be great if invoices could combine the room stay and related package items into a single line when they are linked to the same date.

For example, for a “Bed & Breakfast” package, the accommodation and breakfast charges would appear grouped together on the invoice instead of being separated into different lines.

This functionality was previously available in Hotello and made invoices much clearer and easier to read for guests.

  2. When automatic no‑show cancellation is enabled, Mews currently cancels all no‑shows at 6:00 am on the day after arrival. This works well in most cases, but creates challenges for guests who have communicated a late arrival.

    Request:
Add a simple “Late Arrival” flag on a reservation that can be set by front desk agents without checking the guest in.

If a reservation is flagged as Late Arrival:
    - It should not be automatically cancelled as a no‑show
    - The reservation remains active until the guest arrives or is manually handled by staff
    - Normal no‑show rules continue to apply to…

  3. As a small hotel, we don’t always place product orders every day. As a result, we sometimes forget to check the product checklist. We would like the ability to receive a daily email at a configurable time (ex. 7 p.m. the day before) with the product checklist included directly in the body of the email. This would eliminate the need for multiple clicks to access the checklist and reduce the risk of missing product orders.

  4. When marking a space as Out of Order, Mews currently provides no visibility into existing reservations that overlap with the OOO period. Property staff must manually search the timeline to identify affected bookings and reassign them one by one. This is time-consuming, particularly for larger properties, and leaves room for human error. A missed reservation can result in a guest being assigned to an unavailable room at check-in.

    Proposed Solution (tiered):

Display affected reservations. When a space is set to Out of Order, present a summary of all reservations on that space that fall within the selected OOO dates. This…

  5. Problem:
We use Out of Order (OOO) to manage rooms that are temporarily unavailable e.g. for repairs or renovations.
However, the default end time is set to midday, which makes it unclear when the room should be included in daily cleaning plans. In addition, the room can only be updated to “Clean” after 12:00, once the OOO period has ended.

This creates unnecessary confusion and limits flexibility in housekeeping operations—especially for teams working on mobile devices without access to adjust OOO blocks.

    Solution:
Allow setting a default end time for Out of Order e.g. midnight, so it is clear which…

  8. Option A: Add a “Snapshot” Button

Introduce a Print button in the Reservation Overview >> Print output mirrors the page as is.

Similar to existing print‑enabled reports (e.g., Space Status)

    Option B: Export as PDF

Add Export → PDF (Layout View) alongside Excel
    Preserves:

    Page UI formatting
    Column order
    Grouping
    Visual hierarchy
    Header Titles (Stayovers, Arrivals, etc...)

📌 Either option alone would significantly improve usability; offering both is ideal but not required for initial delivery.

    Acceptance Criteria

✅ Layout in print/PDF matches the on‑screen Reservation Overview as a Snapshot
✅ Respects filters, dates, and sorting applied by the user.
    ✅…

  9. Add a Validity Period to the Voucher Redemption Additional Service Product, with the following behavior:

    Configuration

    Allow users to define:

    Valid from date
    Valid until date

    Optional toggle:
    (a) “Enforce validity on redemption” or
    (b) A Voucher Redemption Toggle that reveals a date picker.

    System Behavior

Voucher Redemption can only be posted if:

The Consumption date falls within the validity period

    If outside the range:

Mews prevents posting and surfaces a clear validation message

    📌 Example error:

“This voucher is no longer valid and cannot be redeemed.”

    Acceptance Criteria

✅ Validity dates are configurable at the Additional Service Product level…

  10. It would be crucial for us to have a option when creating an availability block "copy rate description and product rules from base rate".

At the moment we have to copy and paste the rate description from the base rate for ~300 blocks/year as the availability block rate description for us is the same as the base rate description. Same applies for product rules.

To allow for flexibility with other customers it would be great to have this as an option when creating the block.

  13. Hi,
Would it be possible to have an option that we can select to add the same address/city/postal code to all profile of the same reservation?
In Spain, we need to fill in a lot of information and the adress/city/postal code is something mandatory for us and when we have big groups it takes forever to add that info individually.

    Thank you

  14. It would improve efficiency if we could create a batch of bookings for the same or different company, all at once, by just choosing the dates we need, and then just repeating that same pattern of rooms needed for all bookings. To be able to assign an individual customer to each would be preferable, like being able to create a new customer for each different date, in a faster way.

Creating group bookings one by one is very tedious and takes a long time, and for properties that hold various groups a day or a week, this would definitely be…

  15. Currently, the system allows a "Confirmed" block to be released unless the "Do not release" toggle is manually selected. This redundancy creates a high risk of manual error, which has recently resulted in an accidental overbooking.

Suppose when we click "Confirmed", it's confirmed and the block should automatically change to "Do not release". Otherwise, it makes the process more complicated and increases the chance of errors.

  16. Bonjour,
Merci.

  17. Expand the "Responsibility" section so it can also function as a restriction layer, not only a notification feature.

    Current:
**Offer to Employee = All employees have access and visibility into the service, which they can sell/post. It does not offer "exceptions".

**The responsibility section in the service is mainly for Notifications or Tasks.

    Desired behavior:

Add a configuration option in Service Settings:
“Restrict service management to the responsible department/user only.”

    When enabled:

Only staff or user groups assigned as Responsible can:
    Sell the service
    Modify service orders
    Manage related items/products

    Non‑responsible staff:
Can view the service (configurable), but
    Cannot sell…

  18. Clients would benefit from the ability to assign or customize counters at the service level rather than just at the property level. Today’s setup only allows counters to be selected from a property‑wide dropdown, which introduces avoidable human error and operational inefficiencies.

    Problem

    • Counters are defined at the property level, meaning all services pull from the same shared list.
    • Staff must manually choose the correct counter from a dropdown when posting charges.
    • This manual selection is error‑prone, especially for properties with many outlets, departments, or revenue streams.
    • Incorrect counter selection leads to downstream reporting and accounting discrepancies that…

  19. We have quite some festivals in our area. To reduce the risk on parties in our hotel, I want to reduce the maximum room capacity to 2 guests for rooms which usually could host upto 5 persons.
In my previous PMS we had rate plans per occupancy which we could close down.
Can you create a restriction for this? Or in de occupancy report?
