Property Operations & PMS

Property Operations and PMS: this is the forum for posting your ideas and comments on all aspects of hotel operations, from reservations to billing. You'll find a category here for each of the major topics in property management, and if you can't find the right category, please search or post to the Other category. Where we can, we'll move ideas around to group them as intuitively as possible for the product managers working on the PMS.

Please keep in mind that there is a separate forum for topics specific to the operations of hotel chains and groups. Go to the Multi-property management forum for anything about portfolio management or rate, product, package and restriction functionality across multiple properties.

  1. I would be great to be able to create a waitinglist, so if anyone cancels, we can see the other guestst who wish to stay here. That way we don't have to remember guestst who want to know if anything opens up, the system does that.

  2. It would be nice to get some sort of notification when a booking is cancelled. That way it is possible for us to know if we suddenly have a room avaliable, when we know other guestst wish to stay with us, and we can inform them.

  3. On occasions when a Guest with an OTA room reservation has no charges throughout their stay (yet), but incurs a charge during or after their stay in a post-departure billing scenario, I have found that following the roll-out of billing automation, the ability to open a new bill owned by the Guest is not available on the billing screen.

Instead, a new bill can only be opened that is owned by the OTA and must be manually changed to be owned by the Guest, and association with the OTA must be removed.

I opened case 00628498 with live examples and…

  4. Sometimes we need to put more than one room at once to Out of Order. Now it's really slow to do it one by one.

  5. Problem:
When we create a booking, we send the guest a payment request linked to the reservation. However, if the booking is later cancelled, the payment request remains active and must be cancelled manually.

    Solution:
Automatically cancel linked payment requests when the related booking is cancelled.

  6. It would be nice to have an option to select a Partial/Separate Invoice without the trouble of splitting a reservation into 2 separate reservations. We get many corporate people who might stay 3 nights getting reimbursed by the company and add 2 nights so they can have a get away with their spouse/partner for the weekend all on their personal card. Or even if it is not specific nights, a guest may not want more than the room charges on the invoice submitted to the office, because the employer may not reimburse the hotel stay for the business trip if…

  7. One important area for future improvement is the reservation amendment process. Currently, when modifying an existing reservation, such as changing dates, room type, or number of guests, there is no option to preview the updated rate or any supplemental charges before saving the changes. Staff must first apply the amendment in order to view the new pricing and communicate it to the guest. This creates operational challenges, as there is no reliable way to revert the reservation back to its original details and rates if the guest declines the updated pricing. For example, MEWS currently allows additional nights to be…

  8. The reservation form needs a prompt to allow the guest to indicate their desired arrival time. As a small property, managing our staff is very important. If a guest isn't arriving until 11pm, we need to know that ahead of time. There should be a mechanism displaying the default arrival time and allowing the guest the option to adjust it. Having a guest arrive at 3pm versus 9pm makes a big difference for staffing and housekeeping.

  9. We offer down bedding by default and hypoallergenic upon request. I want the guest to have the option to check the hypoallergenic box when making their reservation so we know how to prepare their bedding. We can't find out upon arrival that this is needed as it takes too much time to implement. The special requests blank field isn't good enough as the guest needs a specific prompt for this request that we can automatically alert housekeeping to.

  10. My restrictions list is very long- different rooms have different restrictions and I have to create a restriction for every single holiday when I want a different nightly booking minimum (e.g. 2 nights or 3 nights). When looking at the long list, it would be A LOT faster for me to know why I created a specific restriction if you would allow me to name it myself. For example, my restriction for 5/22-5/25 that requires a 3 night stay, I could name "Memorial Day" instead of having to figure out from the dates why I created that specific restriction.

  11. We use a demo environment for training and development. Multiple demo users are not possible (we tried, but it did not work).

So we end up with one admin user account. Admin accounts are now required to use passkeys, but these are hard to share without an extensive password infrastructure.

Ich muss mir also merken, welche Rate an erster Stelle steht?

Ich wünsche mir, dass der Balken der Ratennamen mit nach unten fährt.

  13. I would like to suggest a small but very useful improvement for the Internal use function in the Mews Operations Timeline.

At the moment, when creating an Internal use reservation, we can enter the block name, choose the assigned space, set the start and end time, add notes, and then create the reservation. This works well for one room or space.

However, in daily hotel operations, we often need to block several rooms for the same internal reason — for example maintenance work, staff use, management rooms, renovation tasks, inspections, or operational blocks that affect more than one room at…

  14. When a booking is made on a space type that shares units across multiple parent spaces (e.g., room type "Deluxe Room" spread across Villa A, Villa B, Villa C), Mews should validate whether the full duration of the stay can be accommodated in a single unit — not just whether the stay can be distributed across units within the same space type.

Current behaviour: Mews confirms availability if the stay can be "Tetris-fitted" across multiple units within the same space type, even if that requires a mid-stay room move. This can occur when some units are blocked or privatized for…

  15. Mews only stores data for 3 months, which is too short. If issues happen, they are usually way past 3 months. For example, guest emails, pricing etc.

It is beneficial for hotels to access all email history per guest, 6-9 months at least. The same goes for pricing; looking into reports back in time makes no sense, and you can not get a correct average price for the past on a day-to-day basis as well as per whole month.

So, please do increase data storing to a few more months.

  16. Hi,

As my breakfast team is not using Mews, my reception team has to print a breakfast list for them every morning.

At the moment, we are using the “Guests in House” report, but it only includes the bookable breakfasts and not the additional breakfasts. Therefore, the report is incomplete.

My other idea was simply to use the Product Checklist and print it with Ctrl+P. However, not all rooms are visible in the printed version. The list displayed in Mews is almost twice as long as the one being printed, as the print version generally cuts off after the 4th…

  17. Hello,

I work at the front desk of Comfort Hotel Saran in France.
Every day, we need to set all rooms to “Inspected” status.

However, this takes a lot of time because we currently have to update each room one by one.

Would it be possible to add an icon or a button that allows us to set all hotel rooms to “Inspected” with a single click?
Since all our rooms are cleaned every day, this feature would save us a significant amount of time and would be extremely helpful.

Thank you in advance for your support.

    Best regards,
    Front…

  18. Confirmation emails should be saved in the guest profile until for at least two weeks after departure, preferably four weeks or longer.
Normaly it should be saved for 10 years after departure, because it is a part of the contract —or, more accurately, they are the contract— and it has a 10-year retention requirement.

Delete 3 month after sending is quite to early.

  19. n our previous system, HS/3 (Germany), there were extensive functions and direct information available in the occupancy plan, which corresponds to the timeline in MEWS.

    • Reservations could be extended or shortened directly in the timeline, and travel dates could be changed by moving the reservation horizontally.
    • It was possible to see directly how many people occupied a room without selecting or clicking on a booking.
    • Important guest and reservation details were displayed simply by hovering the mouse over different bookings, especially the phone number.
    • It would be helpful if reservations could also be downgraded, perhaps with a pop-up warning when…

  20. Simplify overview and restriction management: Managing restrictions is very time consuming and hard to keep an overview of, because a single restriction creates many lines per rate, rate group, room type or segment and editing/removing them one by one is inefficient and error prone. It would be great that a single restriction would create a single line on the overview when it is created, and in case it has to be changed or deleted, you can just access that line with the configuration you did when the restriction was created.

More filtering options: being able to create and edit restrictions…
