Property Operations & PMS

Property Operations and PMS: this is the forum for posting your ideas and comments on all aspects of hotel operations, from reservations to billing. You'll find a category here for each of the major topics in property management, and if you can't find the right category, please search or post to the Other category. Where we can, we'll move ideas around to group them as intuitively as possible for the product managers working on the PMS.

Please keep in mind that there is a separate forum for topics specific to the operations of hotel chains and groups. Go to the Multi-property management forum for anything about portfolio management or rate, product, package and restriction functionality across multiple properties.

  1. Confirmation emails should be saved in the guest profile until for at least two weeks after departure, preferably four weeks or longer.
Normaly it should be saved for 10 years after departure, because it is a part of the contract —or, more accurately, they are the contract— and it has a 10-year retention requirement.

Delete 3 month after sending is quite to early.

  2. Inventory on products should be possible. For instance limit a certain product such as pet to only x number sold pr. day.
As of now we have to close an entire product for all dates if this is sold out on one date.
This is causing loss of potential revenue as well as poor service for the guests.

  3. Automatic availability rules that help hotels manage inventory more efficiently and prevent overselling—without requiring constant manual updates.

    What Problem Does This Solve?

Right now, hotels must manually monitor room availability and apply restrictions (like closing rates or adding minimum length of stay).

    This can lead to:

    • Overselling during high‑demand periods
    • Losing control of the total hotel inventory
    • Last‑minute rate changes
    • Extra workload for revenue and front‑office teams

    🎯 What We’re Requesting

We’d like Mews to offer automatic rules that trigger when availability reaches certain thresholds.

    These rules would look at:
    ✔️ Room type availability
    ✔️ Total hotel availability
    ✔️…

  4. The new bill view is missing a feature that was previously available: the option to add a company directly from the bill menu via Change bill owner / associated profile.

Removing it makes the whole workflow more complicated and less convenient, since it now takes several extra steps to do what was a single action before.

Since you are updating the interface again, please make sure the functions that were already in place are retained. Redesigns should not come at the cost of existing functionality that we rely on daily.

  6. To enhance the visibility and usability of the loyalty program interface by introducing tier-based color differentiation for the loyalty icon. This change aims to improve user experience for both guests and staff by making member status instantly recognizable. This would help the staff members to quickly identify loyalty tier during check-in or service interactions, members would feel more recognized and valued.

  7. Hardcoded city tax is now considering date of birth. In case of a child without date of birth filled-in, Mews consider 17 years old. For Infants it should always ignored, even without the date of birth. At least in Italy, infants (0-3 yo) never have to pay.
So, if it is possible that infants generates city tax, it will be much easier to manage bills.

  8. i am looking to hide or show rates, in both the 'manual' reservation creation flow, as well as the booking engine based on various conditions

eg a company has a contracted rate, and in the contract is also listed that they will always be granted the lowest rate. i dont want to show the contracted rate if eg the BAR is lower, and for some companies that have a discount rate on BAR, we want to ensure that when there is a promotion, that they see this one instead of the contracted rate.

basically, make it easier and less prown…

  9. We are a self check-in hotel, and we want to prevent last-minute reservations from being assigned to dirty rooms. Currently, the restriction for dirty rooms only applies at the check-in stage.

Because there are not always staff onsite and we often receive last-minute reservations, this creates stress around guests booking rooms that are still marked as dirty. In these situations, guests are unable to check in, and there is no one available to assist them.

Right now, this requires a lot of manual work to mark dirty rooms as Out of Order to prevent them from being rented.

    It would…

  10. Description:
Currently, when adjusting the number of guests in a reservation, Mews either:

Keeps the total price unchanged (with "Keep old price" ticked), deducting additional product charges (e.g., city tax, breakfast, or other per-person fees) from the accommodation rate—distorting the original pricing structure.
Recalculates the total price (with "Keep old price" unticked), updating the room rate to the current pricing, which can lead to unjustified price increases for guests if rates have changed since booking.

    The Problem:
There is no automated way to:

Preserve the original nightly rate (as agreed upon at booking).
Recalculate and add all per-person product charges…

  12. Properties need the Reservations report to distinguish between the originally booked arrival date and the actual check-in date/time.

At the moment, when a reservation is checked in later than its scheduled arrival date, the Reservations report can show the actual check-in date in the Arrival field instead of the originally booked arrival date.

This creates reporting issues for properties that use the Reservations report export for stay-duration calculations and operational analysis.

    Current behavior:
A reservation booked from 20/12/2025 to 27/12/2025 can appear in the Reservations report with an arrival date of 21/12/2025 if the guest was checked in on 21/12/2025.

  13. We work extensively with product rules in Mews and have encountered a recurring challenge: the inability to define a start and end date for product rules. This limitation creates significant complications, particularly when we need to add or replace products in existing rules.

    The Issue:

When a product is added to an existing product rule, it is automatically applied to all future reservations, including those that were created before the change but have not yet been checked in. This means that even though a reservation was made under the old rule, the updated product is applied at check-in, changing the…

  14. Split Reservation / Automatically transfer booking items when a reservation is split

    Description:

When a reservation is split due to a room move, scheduled booking items currently remain on the original reservation and must be added manually to the new one.
This increases administrative work and creates a risk of services being missed.
It would be helpful if all future booking items (e.g. weekly cleans, breakfast packages, late check-outs, or other scheduled services) were automatically copied to the new reservation for the remaining stay dates, while items that have already been used remain on the original reservation.

    Benefits:

    Reduces manual…

  15. Hi,

especially with groups booking multiple rooms, it happens that:

in the same room, one or more guests arrive or depart on different dates. Or, for example, in a triple room, one person might leave before the other two, and another might arrive to take their place. We need a way to specify this; it’s also important for per-night-per-guest charges, such as city tax (automatically calculated per night per person), which must be reduced if a guest leaves early. But right now we have to do this manually, and there’s no way to specify different check-in/check-out dates.

  16. Double room supplement
It is recommended that the double room supplement is shown separately from the single price on the invoice. This is particularly advantageous for business travellers who are travelling with a companion and require a separate invoice.

    Doppelzimmerzuschlag

  17. Mobile amenities that are not part of the standard room equipment (e.g., extra beds, baby cots, diaper bins, children's stools, coffee/tea service, bathrobes) should be able to be managed centrally in Mews. Currently, mobile, limited-availability amenities cannot be centrally represented in Mews. Hotels are forced to work with external lists or manual coordination to track availability and usage. This leads to a lack of transparency regarding availability, double bookings, increased coordination efforts between reception and housekeeping, and potential guest dissatisfaction. We would like the ability to create mobile amenities centrally in Mews, manage them with a limited quantity, assign them…

  19. Our operations and guest experience would be so much smoother if tasks were automatically assigned to a specified department when a product is added! Product options currently only automatically assign tasks if a product is added during online check-in. This should be an option when a product is added during any step of the guest journey - either by the guest or by the reservations specialist.

  20. Problem Statement

Currently, Mews allows users to search and report on reservations using the Voucher Name. However, a single voucher name can be associated with multiple voucher codes throughout a season or campaign. While the voucher name is available in reservation reporting, the specific voucher code used to redeem the reservation is not visible on the reservation or in standard reservation reports.

This makes it difficult for properties to accurately track voucher redemption performance and analyze the usage of individual voucher campaigns.

    Requested Enhancement

Add the redeemed Voucher Code as a field that:

    • Is visible on the reservation details.
    • Can…
