OTA Taxes
Having used Mews PMS since December 2023, an outstanding issue remains a constant source of additional manual work that seems as though there should be a way to automate the work instead.
Our property has three tax brackets applicable to room reservations, Florida State sales tax (6%), Pinellas County sales tax (1%), and Pinellas County Tourism Development tax (6%). These three brackets are uploaded to the Expedia and Booking.com in their individual brackets just as they are in our Mews PMS.
When applied, the OTAs (both Expedia and Booking.com) apply a single, collective tax bracket of 13% whereas in Mews, each of the three brackets are applied one at a time to the base rate. The issue herein that creates the manual work is attributed to how the tax brackets are rounded up or down. The OTAs round the collective application of the 13% up or down. Mews rounds each individual application of the three brackets up or down.
This creates a variance on a significant number of reservations each month which must be manually adjusted through the application of an external payment method. I use "Exchange rounding difference" which may have been designed for currency exchange rates. As we accept only one currency, this external payment method allows me to track the number of manual adjustments posted each month as well as their total value. In May 2026, I posted more than 140 adjustments to bring each affected bill to a $0.00 balance, allowing for the closing of each bill.
Since the roll-out of billing automation, the variance tax rounding causes is not generally seen by our front line Staff members when they look at the status tab of the room reservation. The billing button will not be blue to draw attention to the unbalanced OTA-owned bill, nor will the reservation show up on the departures list as having an unbalanced bill.
I find and adjust the rounding variances every day when I review our ledgers, specifically looking at the Billing screen for Expedia and Booking.com. With some Booking.com reservations being paid in full at the time of booking, I occasionally find future reservations with variances, but more often than not, they do not become visible until the day of arrival after the VCC has been charged automatically by Mews.
I have checked periodically whether there's a workaround for this given it's a known issue and again today learned there is no workaround even though it's still known. I have to believe there are numerous other properties that face this issue, and I would be interested to know whether you have a workaround that you've automated or at least minimized the number of transactions you have to post to achieve $0.00 balance OTA-owned bills.
