1. Credit Facilities

   Dear Mews Support,
   I would like to suggest the following set-up, as major PMS systems uses.
   This is more financial point of view within Mews system, so just to give you an idea how it should work, I can explain the following:
   Financial Process: Upon arranging contracts for travel agencies or companies we are following these steps as standard (Off line)
   1. Mutual signed contract agreement between the property and the Travel agency or company.
   2. Approve the credit application form for companies or travel agencies, and depending on the credit checks; we can grant the relevant credit to open an account with us. Example (£10K) payable within 30 days.
   3. Provide the information that the credit limit has been approved for an X amount.
   4. Then, the TA agency or Company have credit with us and payable with the agreed dates upon receiving our invoices with an account number.
   PMS system: I would need to add this information to MEWS PMs, and I would like to record this information on the travel agency or company profiles following these steps:
   1. Load the credit limit amount in the company or TA profile. I.e. £10K (Mews)
   1. Then, the team will check-out a customer bill and issue an VAT invoice to the TA or company. Example £2K (Mews)
   2. Then, the credit limit for this particular company should give me the remaining credit of £8K to be used within the future reservations. (Mews)
   3. Finally, upon making the reservation under this particular TA or company, MEWS PMS should alert the team that this particular company or TA has only £8K remaining credit limit prior confirming any booking.
   So here are the suggestions for future
   · Mews Commander need to have this set-up in Mews PMS where we can track all the TA/ Company remaining credit limits are displayed, depending on their consumption.
   · Mews PMS to alert us when the credit limit for a particular TA / Company is low.
   · Mews PMS to give us an alert if the credit limit is low upon making a reservation to avoid exceeding the company credit limit.
   I know your accounting ledger default set-up do not give us this information, perhaps there might be a process to follow the set-up what hotels needs to be more effectively, otherwise we will be running excel documents and spending long period of time looking into this daily.

2. Transfer extras from one room to another

   Transfer extras, as for example lobby bar items from one room to another, should be possible to search for room numbers, instead of names / mailadresses. A transfer of items goes faster and smoother. For example are group bookings from OTAs not stated as a group in mews and cant be merged. So when group leader / guest wants to pay for all, but everyone in the grouphas posted items individually in the rooms, that is not easy.

4. Automatic Payments

   In the case where there are long term guests that wish to pay weekly. You can have a card saved in their profile and charge weekly accordingly.

   This would help alot with hostels who have staff working in the area for long periods at a time.

6. When transfering items from an invoice to another guest the cursor should immediately be placed in the box so we can start typing.

   When clicking 'transfer/other guest' the cursor should just immediately be placed inside the box so we can type the name.
   This way you can immediately start typing and looking for the name or paymaster.
   Right now it's a hassle to have to click again just to start typing.

   Perfect example: go to google.com and voila you can just type whatever you want to look up.
   Can you imagine having to click the box again to actually start typing? Simply unnecessarily inefficient.

7. POSSIBILITY TO ADD INFORMATION IN THE INVOICE

   The PMS should have the option to add in the invoice more information needed by the accountancy department. We need to appear the name of the travel agency or the name of the apartment on the top right hand side of the invoice where it's shown the guest name, company, issue date, etc... but we don't have that facility.

8. Automatic charging of first night and only products of the first night

   At the moment: it is only possible to charge 1 night for accommodation automatically. It is not possible to charge the products for just the first night only, when you have products with a reservation, it will charge all of them. So a great new feature with be to automatically charge the products of the first night instead of all the products

9. Breakdown of quotation (detailed quotation)

   When a guest ask for a quotation with different kind of product (night, breakfast, lunch, dinner, pic nic……) it would be great to have the complete breakdown with each product clearly identified.
   Currently, Mews does not offer the possibility to identify products and offer the total amount without any detail.

10. closed out dates remain open for existing booking to amend to those closed dates

    I ve closed out say 1st January 2021. FO team still have amended a few existing bookings from 1st Feb to 1st January which is closed.
    Mews team said, restriction is only valid for new bookings...

    Would be great if there was an option to not display the created date on the invoice but the consumed date instead.

12. Include invoice into payment e-mail

    When a payment is successful, than the guest receives an e-mail to inform him. Many of them than request the invoice for that amount. Please also send the concerning invoice with the e-mail together.

14. Exclude companies in the Bills & Invoices overview

    Bills & Invoices has an option to search for company's open bills, but sometimes I wish I could exclude a company from the current list of open invoices view. For example, we know that Booking.com send us the money for the open bills, so excluding those invoices would help to have a better overview of the actual invoices.

15. Add note to credit card

    It will be very useful to put a note for each credit card in order to know if the credit card is a personal one or a professional one. So we will be able to take a deposit on the right CC and differentiate each CC.

16. Past Restrictions Report

    Being able to run a report on all restrictions whether currently in place or historic / deleted would be useful to be able to see which team member placed a restriction, when it was placed for and which rate plan would be useful for when pulling together a case study where you need to show the historic data.

17. Open balance visible in reservation details

    Properties would like to have a tick or symbol in the reservation details (reservation overview and timeline) to give an indication if a reservation has been paid for already. For now, clients have to click a few times to consult the billing screen and verify if an arriving/departing customer still has an open balance. E.g. it would make the check-ins even more quick.

18. Réservation de groupe: pouvoir supprimer la liste des occupants après le check out

    Nous accueillons chaque semaine une compagnie qui réserve 10 à 12 chambres chaque fois et invite de nouvelles personnes chaque fois.
    Le nom de ces personnes reste dans le profil paymaster que nous avons créé pour cette compagnie. Alors qu'elles ne vont pas revenir , il faudrait supprimer cette liste d'occupants de chambres car inutile et encombrante

20. OGM numbering

    OGM issue
    1 What is an OGM
    OGM is a structured reference used with wire transfers and supported by all banks in Belgium in the form of: +++090/9337/55493+++
    This reference is used by the hotels to process the bank payments automatically

    2 Structure
    If you strip the + and / from the example +++090/9337/55493+++ you get 090933755493

    The first 10 digits are typically the invoice number 0909337554. This could be a combination of invoice number and financial journal, or any other combination, but the invoice number is commonly used and should work for most of the customers.
    Of course if the invoice number gets reset each year, you could have the same reference for different transactions. To prevent this scenario you could put the current year in the first 2 digits and use the rest for the invoice number.

    The last 2 digits form the control amount: this is the modulo 97 of the first 10 digits. So 0909337554 gets divided by 97 and the rest will be the last 2 digits: 93
    There are 2 exceptions:
    • if module 97 is zero, 97 is used
    • if module 97 only consists of 1 digit, an extra 0 is padded to the left
     
    3 Use in a PMS
    • This OGM reference should be automatically created when an invoice/bill is created and stored in the database.
    • This field should be at all times printed on the invoices (below example from winner😊)

    • This field should be available for accounting interfaces for Mews in the connector api function Bills/getAll:
    o either in the Bills section:
