Property Operations & PMS

Property Operations and PMS: this is the forum for posting your ideas and comments on all aspects of hotel operations, from reservations to billing. You'll find a category here for each of the major topics in property management, and if you can't find the right category, please search or post to the Other category. Where we can, we'll move ideas around to group them as intuitively as possible for the product managers working on the PMS.

Please keep in mind that there is a separate forum for topics specific to the operations of hotel chains and groups. Go to the Multi-property management forum for anything about portfolio management or rate, product, package and restriction functionality across multiple properties.

  2. It would be very helpful if there was a cross-search bar for product within the billing window. There is a cross-search sanction within the additional services, but often not everyone knows which product is in which additional service. Therefore, a general cross-search function would be helpful.

  3. When using the calendar view and adding a restriction, after saving, you are automatically redirected to the list of restrictions, which means leaving the calendar view. Therefore, after each addition, you need to go back to the calendar and reapply the filters to display the desired dates.

I considered the solution of opening two windows—one to keep the calendar view open and the other to create restrictions. However, this does not solve the problem: when a restriction is created in one window, the other window needs to be refreshed to display it, and this refresh resets the filters and returns…

  5. It would be very helpful if a percentage could be stored in the price hierarchy to specify the price difference between room types.

When we merged two room types, the occupancy rate of the subordinate room category stopped being displayed, and it became impossible to adjust prices individually or override the price hierarchy.

    Therefore, we reversed the merger.

An easy way could be to work with fixed percentages in the price hierarchy.

  6. Prevents Abuse and Overuse
By reducing the time a single code remains active or capping its usage, we minimize the risk of widespread sharing and uncontrolled redemption.

    Protects Revenue Integrity
The promotion remains aligned with its original budget and ROI expectations, avoiding unplanned discount leakage.

    Improves Operational Efficiency
Automation removes the need for manual monitoring and intervention, reducing workload for staff and ensuring consistent enforcement.

    Enhances User Experience
Clear rules and predictable expiration reduce confusion while maintaining fairness for legitimate users.

    Supports Dynamic Control
The system can apply logic such as:

    -Maximum redemptions per code
    -Automatic generation of new codes…

  7. Two customer scenarios highlight gaps in the current product setup:

Per-person products/fees (e.g., spa/massage): For spaces that accommodate multiple guests (e.g., a villa for 12), only some may use a service (e.g., 4 guests want a spa). Currently, there’s no way to select a quantity per product for partial occupancy.

Pet fees: Customers want to charge per pet (e.g., $30 per dog) and allow multiple pets to be added. Currently, the only workaround is creating separate products for each pet count (e.g., “Pet Fee – 1 dog” $30, “Pet Fee – 2 dogs” $60), which is cumbersome.

    Request: Add flexibility…

  9. a direct way to set minimum length of stay restrictions that depend on the booking window—for example, enabling 1-night stays when booked within a week of arrival but requiring a 2-night minimum otherwise. lead-time-specific rules would make for a better occupancy and facilitate further processes.

  10. Currently restrictions only consider the arrival date and not the departure date.

This means that if I want only allow bookings at my property from today - 365 days from now, setting the below restriction is not enough to close out the property from day 366 onwards. This restriction will allow a reservation to start on day 1 - 364 and end any day afterwards.

    Restriction type: Closed to Stay/Arrival/Departure
    Maximum advance: 365 days

The best current workaround is to set the below restriction. However, this restricts stays arriving on day 336 - 365, and also for more than 30…

  11. Being able to offer a voucher / promo code that allows for a price reduction from the booking amount. E.g. using code "Spring100" in the booking engine to receive a 100 € discount on the price. That is sometimes more effective than offering a %-discount.

  12. We’d like the flexibility to define different cancellation policies per room category, without creating separate rates.
    Example:
    - Standard Room: free cancellation up to 7 days before arrival
    - Suite with Sea View: free cancellation up to 14 days before arrival

Both should be part of the same rate, shown consistently across booking channels and internal systems.
    Maybe as a rule?

    Thank You!

  13. Just heard from MEWS premium support that it is not possible to apply a non refundable full deposit policy(For all Rates/Levels) to a certain date or date range for a special event. This is possible with other PMS providers so please could I ask for this feature to be created.

  14. It would be helpful to be able to set up recurring restrictions. For instance, our property is closed 1-30 JUL every year. We also restrict many rates during our Festive Period 15 DEC-15 JAN. Rather than process these each year, it would be much more useful to be able to set it to reoccur every year (similar to a birthday in an Outlook calendar).

  15. Currently if you set a cancellation policy overwrite for a rate group there are several issues:

    • The overwrite policy is not reflected within the email templates
    • The policy only applies if the arrival date falls within this period. There is no way to define an inclusion rule

Let me explain this with an example. If I set a 14d cxl policy for New Years 31. - 01.01., the confirmation email will still state my standard 3d cxl policy. If a guest stays for two nights 30.12 - 01.01. the policy won't even apply because his arrival date doesn't fall on…

  16. Would it be possible to configure fixed start and end dates for the "voucher" booking engines?

To improve the guest experience when promoting a time-limited rate, it would be ideal to define a default start date for the voucher that aligns with the start of the promotion. If the selected date is before this, the default would adjust to the actual current date.

Likewise, if a user searches for availability beyond the promotion’s end date, rather than showing a generic “No availability” message, it could display “Sorry, this offer has expired” with a redirect link to the main booking engine.

  18. Will there be a time in the future where we can prompt the system to create rates, restrictions and promotions the same way we prompt an AI, and all the mapping will be done seamlessly: ex.

Please create a rate plan called "Summer Break" for all my properties. the rate needs to be 15% off BAR, and require a minimum 2 nights. the rate needs full pre-payment and can be booked on direct channels and all OTAs.

  19. Use case:
We want to offer a last-minute rate in our web booking engine to increase and stimulate a last-minute pickup. This rate should ONLY display for dates that fall between a maximum advance period of 7 days.

Existing restrictions can be set up to affect the arrival date, however cannot limit the departure date. (rate-specific)

It would be useful to have this option within the restriction options.

    Work-around:
To achieve the above scenario, is only possible using maximum advance and maximum length restrictions for each night individually. In our case we want to offer a last-minute rate maximum 7…
